Understand the charges before raising a query.
A billing exception needs context: the agreed rate, the shipment record and the reason a charge was applied. Some charges are valid; others need correction or clarification.

- John & Ginger — "Avoiding Royal Mail 'Incorrect Label' Surcharges: A Guide for Small Businesses"
10 September 2025 · Royal Mail · Non Conformance · Trade press
A small business describes weekly Royal Mail surcharges of around £5 per parcel for labels flagged "unreadable" or "incorrectly applied" on Tracked 24/48 services, including one case where the carrier's own photographic evidence did not show their parcel. The charges stopped only after the business switched to a larger box that keeps the label away from any seam or edge — a packaging change on their side, not a credit or refund from the carrier.

- UK Business Forums — "Royal Mail Theft By Surcharge"
20 March 2025 · Royal Mail · Non Conformance · Forum
A UK seller reports Royal Mail introducing weekly surcharges for "unreadable barcode" and "incorrectly applied label" defects despite using Royal Mail's own recommended label stock and printer. Royal Mail initially credited some of the disputed charges before starting to reject further disputes, and other posters in the same thread describe similarly unresolved appeals, including one escalating to the postal review panel.
