“Hidden 3PL fees” often means charges a merchant did not anticipate or cannot easily trace to a rate card. It does not establish deliberate concealment. A fee may be agreed in an appendix, triggered by an unusual activity or described differently on the invoice.
Start with the charging basis
Ask what event generated the fee, which term permits it and how the amount was calculated. Handling, oversized parcel, address correction, fuel, packaging and receiving fees can have different bases. A fixed fee per parcel is not the same as a percentage of carriage or a fee per item.
Check permission and conditions separately
A surcharge audit has two questions: is this fee permitted, and was it correctly applied? If an ADMIN code is not permitted by the applicable terms, a £3.00 charge is worth querying. If an oversized-parcel fee is permitted, absence of measurements is an evidence gap rather than proof that the charge is wrong. Review amendments and provider explanations before reaching a conclusion.
A simple fuel calculation
Imagine an agreement applies a 12% fuel surcharge to £50 of eligible carriage. The expected surcharge is £6. A £6.60 invoice entry creates a £0.60 difference only if the 12% rate, eligible base and rounding method all apply. Check the effective month, excluded services and whether other components belong in that base. These figures illustrate the method; they are not current carrier tariffs.
Ask for the right supporting records
- For oversized or handling charges, request packed parcel dimensions, weight and the relevant service rules.
- For receiving or return fees, request linked warehouse events and quantities.
- For storage or minimum fees, request the complete period and the agreed calculation basis.
- For a new surcharge code, request its meaning and the contract term or amendment relied upon.
Turn a surprise into a specific query
Keep the invoice row, charge code, amount and reference together. Explain which term or evidence is missing. Avoid sending a list of every unfamiliar code as a refund demand. Where the expected amount can be established, follow the surcharge query guide.
WarehouseAudit keeps supported priced discrepancies separate from charges needing evidence. It does not validate every conditional surcharge automatically. Run a free 3PL invoice audit with supported files, or use the step-by-step checklist for a broader manual review.
